Purpose of the job
The Operations Assistant supports day-to-day terminal operations by coordinating internal traffic flows and contributing to broader operational support activities. In addition to traffic coordination, the role includes responsibilities related to yard inventory monitoring and terminal housekeeping administrative activities, ensuring operational order, safety, and continuity across the terminal.
Summary of responsibilities:
* Coordinate internal terminal traffic flows to ensure safe and efficient movement of trucks, equipment, and cargo.
* Act as an operational interface between Shift Leader, Control Room, Gate staff, third-party traffic coordination companies (e.g. SDN), equipment operators, and truck drivers.
* Monitor daily traffic flow through observation, evaluation, and real-time adjustment.
* Intervene and troubleshoot critical or congested traffic situations.
* Stop traffic and alert relevant personnel in case of unsafe or dangerous conditions.
* Provide instructions to traffic operators, including position allocation and shift handovers.
* Support planning of daily traffic flows in line with the operational situation.
* Participate in Shifty preparatory and operational coordination meetings.
Yard Inventory Support:
* Support monitoring and basic control of yard inventory, including unit positioning and availability.
* Assist operational teams in identifying discrepancies or anomalies in yard allocation.
* Support reporting of recurring inventory or positioning issues to Shift Leaders and Operations.
Terminal Housekeeping – Administrative Activities:
* Support administrative activities related to terminal housekeeping and order of operational areas.
* Report anomalies related to yard order, traffic signage, access routes, and parking areas.
* Contribute to maintaining operational discipline and compliance with terminal rules.
Documentation & Continuous Improvement:
* Prepare and maintain documentation related to:
o Traffic flows and traffic maps
o Attendance lists
o Reporting of recurring operational or traffic issues
* Support definition of operational improvements and proactively suggest solutions.
* Assist in development and update of training and briefing materials for internal and external staff.
Support to Truck Drivers:
* Provide assistance to truck drivers within the yard for operational needs (unit location, traffic instructions, U-turns, parking instructions, customs holds, etc.).
Key Performance Measures
* Safety and continuity of internal traffic flows
* Timely handling and escalation of critical situations
* Accuracy and reliability of yard inventory support
* Compliance with terminal procedures and HSSE rule
Education & Experience
* General terminal experience
* Understanding for logistical traffic solutions
* Possession of driver's license B (mandatory)
Technical Skills & Knowledge Required (specific skills and knowledge required for the position)
* Rough understanding on road transport types (container, trailer, swap body, …)
* Logical understanding for traffic situations and ability to recognize critical situations
* Courage to autonomously solve critical and escalated traffic situations
* Understanding of driving regulations within a terminal
* Basics skills in MS office (Word, Excel, Outlook)
Behavioral Competences Required (e.g., organizational skills, ability to lead a team, etc.)
* Strong communication and coordination skills with multiple stakeholders
* Ability to work effectively in a team and independently
* Ability to work under pressure in a dynamic operational environment
* High awareness of health and safety procedures
* Willingness to communicate via radio
Language Requirements
* Good level of spoken and written Italian
* Spoken intermediate/basic English proficiency is a plus
Other Requirements
* Valid EU work permit
* Driving licence category B (mandatory)
* Availability to work in shifts, including nights, weekends, and public holidays
* Willingness to work in a mixed environment (office and outdoor operational areas)
* Mandatory use of PPE (Personal Protective Equipment)
* Full compliance with company procedures and policies
