We are looking for a motivated and detail-oriented HR EMEA Operations Specialist to join our HR team.

\n

As an HR EMEA Operations Specialist, you will play a key role in ensuring the smooth, accurate, and compliant management of employee lifecycle processes across Italy and the EMEA region. Reporting directly to the EMEA HR Legal & Retail Coordinator, you will act as a trusted point of contact for both internal stakeholders and external partners, contributing to the efficiency and continuous improvement of HR administrative operations within a dynamic and international environment. The role will involve supporting both corporate and retail populations across multiple countries. Main Activities:

\n

Manage documentation related to hiring, terminations, and contractual changes for employees in Italy and other EMEA countries, ensuring smooth and timely communication with the external payroll providers and a proper filing and updates in HR systems.

\n

Create, in collaboration with the external payroll provider and Finance department, a shared payroll calendar for all the EMEA countries.

\n

Update and monitor any variation in the life cycle of an employee such as maternity and paternity leave, part-time contracts, and contract renewals, ecc

\n

Administrative onboarding and offboarding for employees.

\n

Oversee and update employee insurance policies, including deadline management and coordination with insurance providers in EMEA countries.

\n

Manage EMEA employees attendance system (Zucchetti for Italy), including monthly timecard closure and tracking of vacation and leave.

\n

Work closely with IT for HR Admin projects and deployment/user training to the involved users.

\n

Prepare periodic reports related to HR KPIs.

\n

Ensure compliance with local regulatory requirements, such as social security exemptions for working mothers, under-30 employees, and similar cases, and handle AFC communications for surveys and Istat reporting in Italy.

\n

Provide support to employees on HR Admin topics.

\n

Coordinate HR projects focused on the continuous improvement of administrative processes.

\n

Oversee and coordinate Health & Safety scheduling, with a focus on the planning of medical examinations.

\n

Process purchase orders via SAP for the HR department.

\n

Requirements

\n

Educational Background: Bachelor’s degree in Humanities or Economics, or a related field.

\n

Relevant Experience: At least 3 years of experience in an HR administrative role, preferably in an international or multi-country setting.

\n

Strong Organizational and Documentation Skills: Ability to manage, file, and update HR documentation accurately across multiple systems, ensuring compliance and accessibility.

\n

Knowledge of HR Regulations and Compliance: Understanding of HR legal requirements in Italy and France, including social security exemptions, maternity leaves, and labor laws, with an eye for regulatory compliance.

\n

Proficiency in HR Software and SAP: Experience with Zucchetti tool (mandatory) for managing attendance systems and SAP(nice to have) for processing purchase orders, with an ability to navigate these tools efficiently.

\n

Analytical and Reporting Skills: Capable of supporting HR KPI reporting and maintaining schedules for various administrative activities, such as contract renewals and policy updates.

\n

Language Skills: Proficiency in English (mandatory) for effective communication within an international environment; knowledge of French (plus) for supporting HR activities in France. What we will offer:
