Purpose of role
This role is dedicated to overseeing and enhancing the operational excellence of the Milan office through leadership in facility management, health and safety compliance, and car fleet coordination. The purpose is to ensure a seamless, safe, and efficient working environment by leading the Reception and General Services team, managing vendor relations and maintenance, and driving space optimization projects that align with the evolving needs of the workforce.
Additionally, the role plays a key part in shaping a positive employee experience by planning and delivering engagement and wellbeing initiatives. Through the organization of internal events and wellbeing activities, this role fosters a vibrant, inclusive, and supportive workplace culture.
It also includes strategic collaboration with internal stakeholders and external partners to manage budgets, uphold service and safety standards, and support employee wellbeing and mobility.

3. Responsibilities
WELLBEING, FACILITY & RECEPTION
* Lead and inspire the Milan Reception team, setting ambitious targets and fostering a culture of excellence.
* Oversee general services, from tantalizing catering to spotless cleaning, efficient parking, and meticulous management of office equipment and furnishings, ensuring both routine and extraordinary maintenance needs are met.
* Shine behind the scenes during events in Milan, ensuring every aspect of our facilities runs seamlessly.
* Lead the execution of dynamic internal events and wellness activities, energizing the office environment and strengthening team connection.
* Collaborate with HR and other key departments to create and implement events and initiatives that boost morale, engagement, and workplace wellbeing
* Forge and maintain strong relationships with our service providers, with a special emphasis on our valuable landlord connection.
* Ensure all service providers stay on budget, meet deadlines, uphold quality standards, and comply with legal requirements, particularly in the realm of safety and certifications.
* Spearhead transformative projects for our Milan office, thoughtfully crafting the office layout to align with the evolving needs of our dynamic workforce. Your insights on space utilization will contribute to our strategic space planning policies.
* Take ownership of budget management, collaborating closely with the controlling department. Your recommendations for maintenance, mechanical, electrical, and facility enhancements will shape our future.
HEALTH&SAFETY
* Collaborate with the RSPP to lead technical, operational, and organizational initiatives in accordance with D.Lgs.81 / 08 (Testo Unico della Sicurezza). Your oversight includes regular inspections, contract compliance, regulatory adherence, and proactive improvements.
* Cultivate a close relationship with the Security Zone Team to ensure alignment with Zone policies.
* Guarantee the flawless execution of security and emergency preparedness procedures.
* Supervise equipment and supplies maintenance, ensuring they meet and exceed health and safety standards while keeping a watchful eye on equipment stock levels.
* Empower employees with clear and effective communication of workplace safety protocols.
* Managing of medical examinations and Safety training for all employees.
* Continuously gauge the pulse of our car fleet's needs, ensuring we have the wheels ready to roll for newcomers, promotions, and lease renewals.
* Assist employees in making car selections aligned with our People Team's car policy.
* Foster a productive partnership with Arval / Ayvens and Zone procurement, securing not only the best pricing but also top-notch service.
* Be the go-to expert on car maintenance, guiding employees and setting deadlines based on Arval's expertise.
* Handle car fines efficiently and keep the lines of communication open with employees and internal departments (Payroll & Administration).
4. Qualification, experience and skills
* University degree (preferably economics)
* Fluent in Italian and English
* 5-7 years of experience
