The Candidate:
You're a highly organized generalist who thrives in fast-paced, international environments. You take initiative, follow through, and thrive when you're given ownership of tasks and clear structure. Whether you're onboarding a new hire in Deel or coordinating monthly payroll inputs with local accountants, you stay calm, efficient, and solutions-oriented.
You won't be managing people — instead, you'll support the department by owning the day-to-day operations of HR and office life in our Rome headquarters. You'll also collaborate with leadership to bring structure to our global HR operations across Italy, France, and the U.S.
You're discreet, organized, and unshakably professional. You understand how to handle sensitive information, communicate across cultures, and keep processes moving without dropping details. You take pride in structure, clarity, and being the person others rely on to keep operations clean and compliant.
Desired Experience:
* 2+ years working in an HR coordinator or generalist role
* 1+ years supporting international teams or global contractors
* 1+ years coordinating with payroll providers or accountants (Italy, France, or USA)
* 1+ years working with HR software such as Deel, Gusto, or similar
Desired Skills:
* Fluency in both English and Italian
* Proficiency with Google Workspace (Docs, Sheets, Calendar)
* Familiarity with Deel, Gusto, Zuchetti HR/payroll platforms
Responsibilities & Qualifications:
Hiring & Onboarding
* Coordinate interview scheduling and communication with candidates
* Maintain and update standardized offer letter and onboarding templates
* Administer Deel contracts and onboarding for global hires (U.S., Italy, France)
* Track onboarding status and ensure all documentation is complete and organized
Payroll & HR Coordination
* Liaise with local payroll providers:
monthly info to accountant in Italy, coordinate with Claude in France, and support U.S. payroll via Gusto
* Ensure deadlines are met for payroll data entry and compliance filing
* Maintain accurate personnel records, contract status, and payroll documentation across all regions
Rome Office Operations
* Act as primary point of contact for the Rome office 3x/week
* Manage supplies, workspace access, mail, and local vendors
* Support in-office needs for visiting team members or new hires
HR Process & Documentation
* Support the rollout of HR process improvements according to roadmap
* Maintain internal HR documentation and SOPs
* Help prepare checklists, calendars, and timelines for ongoing HR initiatives
* Ensure sensitive HR information is handled confidentially and professionally
