Customer Service Coordinator (Back Office)

Join Malvern Panalytical as a Customer Service Coordinator Eucharists. You will be the first point of contact for customers, receiving service requests and coordinating the dispatch of the service team across the territory. You will also manage key administrative activities such as quotations, orders, contracts, billing plans, and service documentation. This is a great opportunity for a young professional to grow in a structured, technology‑driven environment.

The role supports the Service organization in the administrative management of service‑related activities and ensures the correct handling of quotations, orders, contracts, billing plans, and service documentation. You will work closely with Service, Sales, and Finance to improve process efficiency, data accuracy and compliance using SAP S/4HANA and Salesforce.


Main Responsibilities

* Receive and register incoming customer calls while maintaining a professional manner and accurate record‑keeping.
* Order spare parts for customers, engineers, and stock, keeping records up to date.
* Manage and control local stock efficiently.
* Coordinate with clients the occupational risk‑prevention documentation required to obtain entry authorisation დაშ Malvern Panalytical technicians into their facilities.
* Manage the engineer Dispatch Console, using cases and work orders to track all activities.
* Schedule preventive maintenance visits for engineers Severity on a monthly basis using the PM planner in SFL.
* Prepare quotations based on customer requests using the correct format and ensuring that Terms and Conditions are agreed.
* Administer contracts and support agreements, including quotes and warranty or contract end.
* Use SAP purchasing to raise requisitions as and when required.
* Cover all business‑relevant tasks for absent staff to maintain continuity.
* .baust Support returns and repairs through correct systems.
* Monitor and manage stock levels and audits across the local service कथा.
* Prepare maintenance contract offers and manage order confirmations and billing plans.
* Monitor invoices, instalments, and contract due dates.
* Provide administrative support for public administration documentatio.
* Support logistics activities (shipments, returns).
* Maintain service and commercial billing archives.


Skills

* Sales and customer service experience (essential).
* Excellent verbal and written communication skills.
* Native Italian and fluent in English.
* Complaint resolution experience.
* Strong organisation and administrative abilities.
* Strong IT skills (SAP, Salesforce, Office365).
* Attention to detail and accuracy.
