Guest Communications Coordinator (Global Sporting Event) - Italian/English Speaking (Contract)

The Guest Communications Coordinator will support and lead, at times, in the development, maintenance, and reporting of all data related to guests attending The iLUKA Collective’s global events.
Roles will start throughout 2025. These are contract roles until March 2026.
Key Responsibilities:
* Serve as the first point of contact for guest queries and data changes, pre-event and on-site, via email, phone, and face-to-face interactions.
* Manage data and generate regular reports for clients, service providers, and client teams using The iLUKA Collective's bespoke database (Pulse).
* Develop and maintain professional relationships with the client, service providers, and client teams to ensure clear communication.
* Communicate data changes to all relevant parties as necessary.
* Produce guest correspondence following client and The iLUKA Collective guidelines.
* Promptly and professionally handle guest queries.
* Distribute regular operational reports.
* Assist in training event staff.
* Ensure compliance with GDPR and other data regulations at event locations.
This list is not exhaustive; all team members are expected to contribute to other aspects of the business as needed.
Skills, Knowledge, and Expertise:
* Fluent in Italian and English.
* Excellent IT skills, including advanced knowledge of Office Suite (Word, Excel, PowerPoint).
* Experience with various systems.
* Ability to prioritize a demanding workload.
* Strong time management skills to meet strict deadlines.
* Proactive, positive, and reliable approach to tasks.
* Organized with an analytical mindset and attention to detail.
