For our Italian Team, we are recruiting a full-time Executive Team Assistant.

We are looking for a candidate ready to assist our senior leaders in Italy. The ideal candidate has a contemporary and collaborative working style, is open-minded, proactive, and a quick thinker. Must have exceptional problem-solving, verbal, and written communication skills. Additionally, this position requires passion and knowledge of HR, digital tools and technologies, process excellence, and the ability to partner cross-functionally. Managing and implementing various process improvements (including administrative tasks) to help drive efficiency with a focus on internal customers.


What will you be doing?

* Organizing and supporting meetings and events, including travel arrangements, itineraries, accommodation, conferences, etc.
* Coordinating meetings with other Personal Assistants at an international level and assisting visiting managers from other offices.
* Planning travel and logistics.
* Providing general administrative support in business activities, particularly with company events.
* Handling expense reconciliations and invoicing accurately (SAP & Concur).
* Preparing and delivering training to other teams on tools, procedures, and policies related to administrative tasks (e.g., Payables, Travel Business, Vendor Setup).
* Drafting and editing presentations and briefing materials.
* Translating documents and preparing internal communications.
* Researching, compiling, verifying, and analyzing information, and creating reports, presentations, organization charts, and communications. Ensuring optimal use and user experience of HR knowledge and information.
* Supporting ad hoc HR projects and assisting in project co-facilitation and coordination.


What are we looking for?

* At least 3 years of experience as a Human Resources Coordinator or Executive Assistant. A Bachelor's Degree in Human Resources or Communications is preferred, or an equivalent combination of education, training, and experience.
* Digital mindset with proficiency in Microsoft Office (including SharePoint and Teams) and other company tools (SAP, Concur, Mindmaster).
* High engagement and customer focus, willing to support and collaborate beyond the scope of the role when needed.
* Fluent in English and Italian, both written and spoken.
* Excellent prioritization, multitasking, planning, and project management skills.
* Structured working approach, independence, responsibility, a friendly and approachable demeanor, and a dynamic, enthusiastic attitude.
* Strong communication skills, proactivity, problem-solving ability, and a positive, collaborative attitude.
