Ph3Scope of the role /h3 pThe Executive Assistant provides support to CEO and Top Management (ExCo team), ensuring efficiency, organization, and confidentiality. This role is responsible for managing agenda, business travels, preparing strategic documents and meetings, and facilitating internal and external communication. /p h3Responsibilities /h3 h3Supporting CEO /h3 ul liProactive and organized management of the CEO’s calendar, efficiently scheduling meetings and calls; /li liManage travel arrangements and itineraries (flights, visa, accommodations booking etc), according with the internal travel policy; /li liSupport preparation of high-quality presentations and materials for strategic meetings (Board, town halls, etc), timely and proactively gathering documentation from relevant stakeholders; /li liAssist the CEO in preparing high-level meetings with strategic stakeholders by gathering key insights on individuals and companies involved, ensuring well-informed and impactful discussions; /li liScreen phone calls, deal with incoming correspondence, meet and greet visitors and clients; /li liManage the CEO’s signature process (preparation and verification of documents to be signed). /li /ul h3Supporting leadership team (ExCo) /h3 ul liManage travel arrangements and itineraries (flights, visa, accommodations booking etc), according with the internal travel policy; /li liSupport preparation of high-quality presentations and materials for strategic meetings, timely and proactively gathering documentation from relevant stakeholders; /li liAssist the ExCo members in preparing high-level meetings with strategic stakeholders by gathering key insights on individuals and companies involved, ensuring well-informed and impactful discussions. /li /ul h3Supporting strategic meetings and admin tasks /h3 ul liSupporting the organization of strategical meetings (Board meetings, Townhalls, ExCo meeting etc), including planning the agenda, sending invitations, requesting IT support, organizing catering services… /li liCollect contributions from various departments for strategic meeting presentations, ensuring deadlines are met, coordinating the overall process, and guaranteeing the quality of the final deliverable; /li liHandle administrative tasks related to executive support, including expense reports, PO and invoice processing, document management. /li /ul h3Requirements /h3 ul liFluency in English (written and spoken) /li liAt least 1 year of experience in the role /li liExcellent knowledge of MS Office and digital tools. /li liStrong organizational and problem‑solving skills. /li liDiscretion, proactivity, attention to detail /li liTeam player /li /ul h3What we will offer /h3 ul lifixed term contract of 1 year /li liUnique brand to discover /li liDiscount on our products /li liDynamic atmosphere in an international environment /li liOpportunity to influence and became a decision maker /li liCompetitive Smart Working Policy /li /ul pbMoleskine is an equal opportunities employer. /b /p pWe recognize and celebrate the benefits that diversity brings to our workplace, our business and our customers.
