Overview
Greentalent, a recruitment firm specialized in the search and selection of professionals and managers in the Energy, Engineering, and Environment sectors, on behalf of a major international player in the industrial, medical, and specialty gases sector, is looking for an Office Manager.
The successful candidate will play a key role in the day-to-day management of the office, serving as the primary point of contact for operational activities and ensuring efficiency, consistency, and high standards across all daily processes.
Responsibilities
* Manage day-to-day office operations, including supplies, equipment, and vendor coordination;
* Oversee facility management and ensure a safe, efficient, and welcoming workplace;
* Act as the first point of contact for employees, visitors, and external partners;
* Handle scheduling, calendar management, and meeting coordination;
* Prepare, maintain, and organize accurate documentation, reports, and filing systems (digital and physical);
* Support management with presentations, correspondence, and internal communication;
* Organize business travel, including flights, accommodation, and local transportation;
* Plan and coordinate internal meetings, workshops, and company events;
* Liaise with external IT service providers to ensure smooth setup and maintenance of workstations;
* Support onboarding of new employees with IT equipment, system access, and permissions;
* Maintain employee records and support HR documentation processes;
* Prepare payroll-related information and coordinate with external HR and payroll providers;
* Support credit collection activities in coordination with Finance.
Qualifications
* Proven experience in office management, administration, or a similar role;
* Full professional proficiency in spoken and written Italian and English, with additional European languages (e.g. German) being advantageous;
* Strong organizational and coordination skills with a high attention to detail;
* Confident communicator with a service-oriented and hands-on mindset;
* Comfortable working with multiple stakeholders and external providers;
* Good IT skills (in particular with the MS Office suite) and confidence working with digital tools and systems.
