Job Summary :The Tour Operations Specialist is responsible for executing and maintaining operational accuracy and vendor management for all tour components within an assigned territory.
Handles all aspects of key line items within the operations systems from end to end.
This position owns vendor, departure-specific updates and confirmations for the territory, supports secure space and chase bids, and collaborates with Product Managers, Designers, and Buyers to provide status updates and make relevant changes within the systems.
The role aligns with the company's goals of excellence and revenue growth.
Primary Functions :Builds strong relationships with vendors through clear communication to confirm and update tour components, vendor status, and records confirmations in the operations systems.Attends regional meetings to support operational consistency and identify key operational needs and tour deviations.Ensures tour components are accurate and consistent across all channels, maintaining overall tour integrity for traveler satisfaction.Communicates with tour managers, buyers, product managers, and designers regarding vendor issues.Supports troubleshooting and resolution of vendor issues raised by Tour Managers.Creates and maintains various tour documents.Assists regional teams in finding backup options based on vendor denials.Monitors and attends to inquiries and issues related to confirmations, questions, requests, invoices, and complaints.Builds non-required line items into the operational systems, including assigning services, creating suppliers, managing contracts, and scheduling side reservation components.Assists with builds and audits of side reservation tour components with high accuracy.Supports maintenance and updates of tour components in the systems.Supports securing tickets for operational elements requiring pre-purchase.Partners with regional teams to support FAMs and add dates processes.Assists with tour change updates and vendor messaging with accuracy.Knowledge and Skills :Bachelor's degree preferred or equivalent experience.Experience in scheduling, logistics, supply chain, inventory, or ERP systems is a plus.Strong initiative, analytical skills, and problem-solving abilities.Ability to plan, organize, and prioritize in a fast-paced environment.Proactive and professional demeanor with high ownership in decision-making.Effective communication skills across all stakeholders.Technical proficiency in proprietary inventory management and MS Office.
