We are searching for a General Services and Facility Manager who will be responsible for facility management and general services at our central offices in Italy. This is a critical role in a modern hybrid workplace, awarded with Well Gold by WELL Building Institute, designed to enable a superior people experience, wellbeing, and foster community collaboration.
This role requires a combination of technical expertise, leadership skills, and strategic thinking to ensure efficient and effective operations. The Manager will lead a team of professionals, including Reception and Community Management, Corporate Health & Safety administration, Company Car Fleet, and Business Operations support. The role also involves managing external vendors in office maintenance and cleaning services.
Responsibilities
1. Manage the team to ensure effective service delivery in our central offices (Milan and Rome)
2. Oversee external vendors such as Multiservice providers, Facilities Management, Cleaning services, Travel Agencies, and Parking services
3. Maintain effective relationships with landlords in multi-tenant premises
4. Establish procedures for emergency management
5. Ensure office equipment is supplied and old records are maintained appropriately
6. Manage the Company Car Fleet, including planning relevant costs within the approved budget
7. Negotiate with external vendors to secure advantageous terms in line with company policies
8. Finalize purchase details and approve orders and deliveries of necessary goods and services
9. Ensure WELL standards are met in areas of Air, Water, Nourishment, and Thermal Comfort
10. Collaborate with key stakeholders to clarify specifications and expectations
Requirements and Skills
* Proven experience as a Facility Manager, General Services Officer, or Community Manager
* Leadership skills and experience in people management
* Knowledge of sourcing and procurement techniques
* Strong problem-solving and decision-making abilities
* Experience in data collection and analysis
