Office & People Operations Coordinator The Office & People Operations Coordinator is a proactive, organized, and versatile team member who will become the operational heart of the office. This role is ideal for someone who enjoys keeping things running smoothly, supporting colleagues, and helping to build a workplace that is not only efficient, but also pleasant and people-centered. Main Responsibilities : - Administrative and financial reporting support : basic bookkeeping, budget monitoring, financial reports preparation, support in grant management and grant reporting, managing basic contracting with new collaborators, and communication with our accountant and payroll consultant. - Operational coordination : managing suppliers, handling orders and shipping, maintaining office files, overseeing office supplies. - General office management : organizing travel and accommodation, managing calendars, and assisting senior management. - Team & people care : onboarding of new team members, coordinating team building activities, maintaining shared spaces, and fostering team wellbeing. - Process improvement : helping to simplify and improve internal workflows and supporting a positive work environment to foster lean interaction between company functions / departments. - ESG and internal polices : implementing and maintaining company policies and procedures, ensuring compliance with safety regulations, HR guidelines and ESG requirements. - External communication : liaising with service providers, consultants, and other stakeholders, management of social media profiles and company website. Requirements Background in business, administration, or management (degree or technical diploma) - Either : - A senior profile, seasoned in administration, office management, supplier coordination, and team support, available to work part-time (approximately 20 hours / week) - Fluent in Italian and English - Confident using digital tools (Excel, Word, PowerPoint, Outlook and similar) - Strong organizational skills and attention to detail - Excellent interpersonal and communication skills - Ability to manage multiple tasks and set clear priorities - Previous experience in similar roles is a plus, but we’re also open to junior profiles eager to grow Contratto di lavoro : Tempo pieno, Part-time Retribuzione : €25.000,00 - €45.000,00 all'anno Benefit : - Auto aziendale - Rimborso Internet - Supporto allo sviluppo professionale J-18808-Ljbffr
