Role OverviewAs the HR Administration Manager Italy, you ensure the effective coordination, development and supervision of the Italian HR Administration team. You guarantee full compliance with Italian labour law, ensure accuracy of administrative HR processes, and drive continuous improvement. Acting as a professional bridge between the Head of HR Administration and the HR Admin Specialists, you secure high‐quality service delivery while fostering team growth and operational excellence.Key Responsibilities
Lead, coach and develop the HR Administration team, ensuring effective workload distribution, deadlines and a positive, high‐performance environmentOversee all end‐to‐end HR admin processes (hiring, contractual changes, terminations, organisational changes) and ensure accurate payroll inputsEnsure full compliance with Italian labour law, collective agreements, social security, taxation, privacy and company policiesSupervise time & attendance and manage absence processes and required documentationDrive optimisation, standardisation and digitalisation of HR admin processes (e.g., digital personnel files, payroll‐cost systems, BI reporting)Act as key reference for HR Business Partners and Line Managers on HR admin topicsManage relations with labour consultants, payroll providers and occupational health partnersSupport audits, compliance checks and internal controlsServe as Key User for HR systems and support enhancements (e.g., SAP SuccessFactors) with IT and HR SystemsEnsure alignment and consistency of HR admin processes across all sites and legal entitiesFoster strong HR governance by role‐modelling integrity, confidentiality and alignment
Your Profile
5–7 years of experience in HR AdministrationProven experience in leading teams or coordinating HR admin processesSolid knowledge of Italian labour law, social security, taxation, and payroll processesExperience in digitalisation and process improvement initiativesSAP SuccessFactors experience strongly preferredPreferred: experience in structured or multinational environments, exposure to SAP SuccessFactors rollouts, and experience in union‐related mattersStrong leadership and people‐management skillsHigh service orientation, precision, reliability, and confidentialityStrong analytical, organisational, and problem‐solving abilitiesExcellent communication and relationship‐building skillsFluent in Italian and/or German; English proficiency is a significant advantage
