Administrative Assistant
Position in the organization
The Administrative Assistant (AA) is a third party provider s employee, who is executing administrative and corporate tasks on behalf of the Flight Operations Country Manager (FOCM) and responsible for supporting Cabin Crew Base Manager s (CC BM) duties and providing the administrative and clerical services to ensure effective and efficient operation.
Responsibilities
The AA is responsible for:
* the administration of the HR issues (newcomers, exits, paper contract distribution, collection and process, keeping record of the tests/upgrades, meeting minutes warnings, etc,) for the crew at his/her base;
* ensure the proper flow of communication between CCs and BM, Flight Crew (FC) and FOCM, as well as BM and/or FOCM and other parties involved;
* the incoming post from outside the company as well as all documents coming from the CC s and/or FC s directed to BM/Associated BM (ABM)/FOCM or other parties;
* sending the post to HQ in Budapest or other bases, whenever requested by BM/ABM/FOCM;
* collecting and checking of expense and travel claims, unpaid leave request forms and sick-leave paper on his/her base;
* maintaining the office supply inventory;
* maintaining office equipment;
* managing company benefits;
* taking care of parking cards/transportation allowance at his/her base;
* keeping up to date the base guide;
* organizing shredding according to company needs;
* collecting and handling those Cabin Operation forms which were filled in and signed during duty: Lost/Damage/ Injury/Illness, FW/ FDIR/HIGH Value;
* ensuring that the Flight Operations flight envelopes are stored in the base office for a minimum period of 3 months after the flight and being destroyed after 3 months of the validity by contracted companies;
* the flight crew related delay codes follow ups and reporting of on time performance to the FOCM;
* the administration of the uniform distribution and complaint;
* the COVID related paper work, distribution list update and matters,
* the Government requested COVID related travel document issues, handles, distributions;

Minimum requirements / Skills and competencies Detailed understanding of safety principles surrounding aircraft operating processes and procedures Understanding of departmental operating policies, procedures and processes Excellent communication and organizational skills; Excellent problem-solving and time management skills Excellent English (both written and spoken) Computer literacy (MS Office: Outlook, Word, Excel, Powerpoint,... ) excellent work performance and attitude shown previous office related work experience is an advantage by helplavoro.it
