Job Title: Document Control Intern Department: Project Engineering Reporting to: Document Controller Internship Purpose: We are looking for a Document Control Intern to support the Document Controller in managing and organizing project documentation. The intern will assist in ensuring efficient document exchange with customers, maintaining document registers, and supporting the project team in handling technical and administrative files. This is an excellent opportunity to gain hands-on experience in document control within an engineering and project-driven environment. Main activities: - Assist the Document Controller in compiling and organizing project documentation required by customers, including document registers, transmittals, and packing lists. - Help update and maintain document registers, ensuring proper tracking of document statuses. - Organize and maintain digital and physical folders for documentation sent and received from clients and suppliers. - Assist in periodic checks of project folders to ensure completeness and proper filing of key documents (e.g., drawings, purchase orders, packing lists, and checklists). - Ensure that documents comply with required formats, numbering and revision control processes. - Collaborate with different departments to facilitate document flow and compliance with internal procedures. Key Relationships: - Interface with Project Managers and Engineering Teams. - Support communication with customers and suppliers regarding documentation. - Collaborate with various internal departments for document control activities. Qualifications & Skills: - Good knowledge of English (written and spoken). - Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe tools. - Strong organizational skills, accuracy and attention to detail. - Basic knowledge of document management systems and procedures (preferred but not required). - Ability to work in a team-oriented environment and manage tasks with changing priorities.
