The Role and Candidate
The Office Coordinator will play a vital role in ensuring the smooth operation of POP MART’s offices and retail stores across Italy and Spain. Reporting to the Head of Retail, this role acts as a key link between the office and various departments, supporting operational needs on a daily basis.
Key responsibilities include handling issues related to stores and office logistics, coordinating travel arrangements, managing uniforms, and ensuring timely internal communication. The Office Coordinator will contribute to the efficiency and organization of POP MART’s operations in the South European region.
We are looking for a highly organized and flexible professional, able to meet tight deadlines and manage multiple priorities.
Responsibilities
Support the day-to-day operational needs of the South Europe office
Act as the main point of contact for internal departments regarding office-related matters
Filter and coordinate incoming operational requests concerning the office and general logistics
Handle and resolve issues related to office infrastructure, supplies and services
Coordinate travel arrangements in alignment with company policies
Manage uniform distribution and stock monitoring for retail staff
Ensure accurate documentation and communication of ongoing office activities
Assist in organizing meetings, internal events and cross-functional coordination
Provide support in administrative tasks and operational reporting as required
Carry out additional administrative or operational tasks based on business priorities
Required Qualifications
Minimum 1–2 years of experience in a similar operational or administrative role
Excellent command of English and Italian (spoken and written)
Strong organizational and communication skills, with the ability to manage multiple priorities effectively
High level of proficiency in Microsoft Office
Proactive, reliable and detail-oriented, with a hands-on attitude
Able to work both independently and collaboratively in a fast-paced, international environment
Flexible and solution-oriented, with a strong sense of responsibility and ownership
Detail-oriented, with the ability to quickly solve problems and handle operational emergencies
Desirable but Not Essential
Experience in the toy industry or retail sector
Knowledge of Spanish or any other European language
Familiarity with Italy / Spain retail landscape and logistics operations
Experience with inventory management software or ERP systems (Net Suite)
