AVENTA is currently seeking a Resource Planner & Mobilization Coordinator on behalf of a leading global player in the Offshore and Marine energy industry. Based in Milan, this role is the heartbeat of our field operations, ensuring that the right technical specialists (Jointers) are allocated to the right projects at the right time.
Mission
Your primary mission is the strategic and operational allocation of technical personnel across global projects. You will act as the central link between Operations Coordinators, Jointers and Administrative teams to ensure that every deployment is technically compliant, logistically synchronized, and cost-effective.
Key Responsibilities
1. Resource Allocation & Planning (Core Focus)
* Strategic Scheduling: Manage and maintain the global deployment schedule for Jointing specialists, ensuring optimal utilization of personnel across various project sites.
* Conflict Resolution: Proactively manage scheduling overlaps or sudden changes in project timelines to minimize operational downtime and resource gaps.
2. Mobilization & Logistics Coordination
* Visa & Permit Management: Support the management of work visas and site-specific permits, ensuring all legal requirements for international deployments are met in a timely manner.
* Point of Contact: Serve as the primary operational contact for personnel on assignment, managing real-time logistics adjustments and resolving travel-related contingencies.
3. Compliance & Administrative Oversight
* Certification Monitoring: Rigorous verification of mandatory technical and HSE/medical certifications (including project specific ones) to ensure every Jointer is \"fit for work\" before deployment.
* Admin & Cost Allocation: Collaborate with the Admin Group to process site attendance records (timesheets) and ensure accurate cost allocation to specific project codes.
* Continuous Improvement: Support the development of simple tools, trackers, and templates aimed at simplifying and standardizing administrative and mobilization workflows.
Candidate Profile
* Experience: Previous background in resource planning, crew management, or administrative logistics—ideally within the Oil & Gas, Marine, or heavy industrial sectors.
* Languages: Full professional proficiency in English AND Italian (written and spoken) is essential for daily interaction with international stakeholders.
* Technical Skills: Advanced proficiency in Microsoft Excel (for complex tracking and scheduling); experience with workforce management software is a plus.
* Soft Skills: Exceptional attention to detail, a proactive mindset, and the ability to navigate complex logistical challenges with calm and efficiency.
Employment Terms
Location: Milan
Work Model: Hybrid (2–3 days per week in the office).
Contract: 12-month fixed-term contract, with a strong view toward renewal or permanent extension.
