This role involves handling a variety of administrative duties, ensuring smooth daily operations, and contributing to a positive customer experience through effective management, reception and administrative support of plant/office areas. /p h3Key responsibilities include: /h3 h3Reception Administrative Support /h3 ul liServe as the first point of contact, professionally greeting visitors, managing incoming calls, and handling mail and parcels. /li liExecute daily mail distribution to relevant departments and teams. /li liMaintain and organize meeting rooms, ensuring they are prepared, presentable, and adhere to a high standard of cleanliness. /li liManage the meeting room booking schedule to optimize facility use. /li liKeep all noticeboards and communication systems updated with current information. /li /ul h3Visitor Facility Management /h3 ul liAdminister the site access protocol, ensuring all visitors complete the sign-in process, receive a safety induction, and are equipped with required PPE. /li liEnsure employees are provided with necessary workwear by managing the regular ordering and distribution processes in line with plant standards. /li liOrder standard office supplies and printed materials from approved vendors. /li /ul h3HR Onboarding Support /h3 ul liFacilitate the onboarding process for new hires, including preparing welcome kits, assigning lockers and badges, and delivering plant orientation materials. /li liMaintain accurate employee data logs and records within the HR information system. /li liAssist the HR Department with Occupational Health appointments, tracking pre-employment checks, reports, and related invoices. /li liSupport the organization of corporate initiatives and local events (e.g., Diversity Inclusion, Recycling Challenge). /li /ul h3Operations Documentation Support /h3 ul liProvide administrative support to departments, including document translation, collecting signatures for various reports and certifications, and the archiving of defined documents. /li liCollect and verify supporting documentation from Operations for the Time Attendance (TA) system, ensuring timely and accurate submission to HR. /li liMonitor shift staffing levels and proactively assist in arranging replacements to maintain operational coverage. /li liProvide secretarial support for meetings as required, including recording and distributing minutes. /li /ul h3Additional Duties /h3 ul liPerform other administrative tasks and special projects as required by the Leadership team /li /ul h3What are we looking for? /h3 ul liExperience in the relevant position for at least 2 years. /li liAccuracy and high attention to details. /li liWell organised and structured. /li liAbility to handle sensitive and confidential situations and information with discretion and professionalism. /li liAbility to effectively communicate with people of diverse backgrounds and employment levels within and outside an organization.
