As an Administrative Assistant, you will be the essential link that keeps our operations running smoothly. Your work directly enables our teams to focus on their core responsibilities while you handle the critical administrative functions that support business continuity. Responsibilities:
* Provide comprehensive administrative support to teams of 20 professionals including travel and expense management
* Prepare documents for committees and manage document platforms with accuracy and attention to detail
* Complete and submit travel and personal expenses within deadlines, following up on all queries
* Manage team calendars and update databases including Salesforce with new contacts
* Support IT requests for swift resolution and track team office presence
* Ensure filing and archiving is kept up to date following established organizational standards
* Support reception desk on rotation, handling incoming calls and routing them appropriately
* Set up conference calls and video conferences, providing technical support for AV issues
* Welcome visitors, suppliers, and clients, providing comprehensive support including bookings and access management
* Support events and seminars with logistics coordination
* Work with Office Manager as operational contact for facility management and office supplies
* Provide backup support to other Administrative Assistants and handle ad hoc requests with flexibility
* All employees are required to work from the office a minimum of 2 days per week.
* We require all candidates who reach the final stage of our interview process to attend at least one in-person interview, which is ordinarily at your nearest S&P Global Ratings office. This must be completed before we can proceed to an offer.
What We’re Looking For:
Basic Required Qualifications:
* High school diploma or equivalent; additional administrative certification preferred
* 2-3 years of administrative or office support experience
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
* Strong organizational skills with ability to manage multiple priorities simultaneously
* Excellent written and verbal communication skills in English and Italian
* Experience with database management and CRM systems (Salesforce experience preferred)
Additional Preferred Qualifications:
* Experience supporting senior-level executives or teams
* Knowledge of travel booking systems and expense management processes
* Familiarity with conference call and video conferencing technologies
* Previous reception or front office experience in a professional environment
