Job title, location and type

Job Title: HR Operation Advisor

Location: Gallarate, Italy - Hybrid (50% of working time at the office)

Employment Type: Full time, permanent


The role

The HR Operations Advisor role is a pivotal part of the EMEA People Services Team, focused on delivering operational excellence, a strong employee experience, and accurate HR advice across Southern Europe, with a focus on Italy, Spain and France. Acting as the People Team representative for Italy and the wider region, the individual will ensure local compliance, support employee lifecycle activities, and collaborate with HR Business Partners and business leaders to drive impactful people initiatives.


Key responsibilities

* Act as trusted point of contact, independently managing HR queries and offering sound advice and guidance on HR processes, policies, and procedures.
* Create, review and issue change documentation, formal letters and contracts in line with internal standards and legal requirements.
* Partner with relevant teams, including Payroll and Global Mobility colleagues to ensure accurate and compliant processing of employee changes.
* Triage employee relations activities in the region, providing policy guidance and escalating appropriately.
* Collaborate closely with HR Business Partners and internal stakeholders to deliver HR support, acting as a trusted advisor.
* Interpret and apply HR policies, collective bargaining agreements (CBAs), and local employment legislation across the region.
* Identify and support with process improvement initiatives that enhance service delivery, operational efficiency, and employee experience.
* Contribute to team development by sharing knowledge to build capability and consistency.
* Participate in cross-functional HR projects and initiatives aligned with business goals and strategic priorities.
* Generate and present reports on People Services activity within the region, providing insights and trends to relevant stakeholders.
* Manage first line employee relations activities, including notetaking, policy interpretation, and supporting with workplace investigations and performance management.
* Support informal resolution by facilitating solutions and actions to resolve workplace concerns and conflict before formal escalation.
* Maintain and audit regional employee files, ensuring documentation is complete, accurate, and compliant with local legal requirements.
* Support onboarding and offboarding processes ensuring documentation and system updates are completed accurately and on time.
* Provide guidance on local employment law and cultural practices, escalating complex queries to legal or the HRBP team as needed.
* Assist in preparing documentation for internal audits or external inspections specific to the country.
* Deliver trainings or briefings to managers and employees on HR topics relevant to the region, such as informal resolution pathways or documentation standards.
* Support in-country HR projects, such as harmonisation of policies and engagement initiatives.


Essential requirements

* Proficient in speaking and writing in English and Italian, with the ability to communicate effectively across diverse cultural and business contexts.
* Proven ability delivering operational excellence and contributing towards successful employee experiences across Southern Europe, including Italy.
* Experience providing accurate and effective HR advice across multiple countries within the Southern Europe region, including Italy, Spain and France.
* Ability to act as 1st line People Team representative for Italy and the broader Southern European region.
* Strong understanding of local employment legislation and compliance requirements in Italy.
* Skilled in supporting employee lifecycle activities from onboarding to offboarding.
* Demonstrated ability to partner with HR Business Partners and business leaders to drive people initiatives.
* Capable of contributing to impactful HR projects aligned with regional and global priorities.
* Experience in proactively identifying opportunities to improve ways of working and enhance service delivery.
* Highly customer focused and customer service driven.
* Demonstrated experience working with HRIS systems, including data management, report generation, and document auditing.
* Skilled in interpreting and reporting on complex HR data to support decision-making.
* Strong stakeholder management skills, with the ability to build effective relationships across all levels of the business.
* Excellent verbal and written communication skills, with attention to tone and clarity.
* Proven ability to maintain confidentiality and exercise discretion at all times.
* Highly analytical and well-organized, with the ability to work accurately and efficiently under pressure.
* Strong prioritization and multitasking skills, able to work independently and deliver high-quality outputs within tight deadlines.
* Experience navigating multiple HR policies and bargaining agreements across European countries, including Italy, Spain and France.
* Advanced proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
* Human Resources degree qualification, or equivalent experience.


Desired skills

* Knowledge of HRIS Technology (Workday / ServiceNow)
* Proficient in speaking and writing in Spanish and French
* Strong knowledge of employment legislation in Spain and France.
