The Opportunity

We are seeking an Executive Assistant for our office in Turin, Italy to join Marco's team. The role will be based in our Turin office 100% on site.


Key Responsibilities

* Marketing Assistance (35%)
* HR Support (5%)
* Sales & Logistics Support (60%)
* Comprehensive client file management, including preparation and handling of contracts, quotes, and personalized follow-ups.
* Detailed organization of meetings, strategic presentations, and major commercial events.
* Proactive updates and analysis of the client database (CRM), with suggestions for improved relationship management.
* Direct contribution to the creation and tracking of commercial offers, integrating European market specifics and coordinating responses to international tenders.
* Creation of databases.
* Support in after‑sales administration and logistics.
* Planning and implementation of communication and marketing actions, in collaboration with the head office communication team.
* Propose actions to support business development and ensuring the proper availability of tools (technical sheets, presentations, etc.).
* Implement and supervise local actions to strengthen the brand's presence in the area.
* Translate and adapt visuals, materials, and communication tools.
* Prospect local service providers and negotiate quotes for video creation, photography, events, etc.
* Logistics and promotional coordination of key events, such as trade shows, conferences, and seminars.
* Involvement in the recruitment cycle, including posting on local job boards and interacting with candidates.
* Track employee files, including administration of contracts and leave.
* Onboard new employees and develop tailored training programs in collaboration with headquarters.
* Organize and monitor internal and external training sessions with a focus on evolving skill needs.


Qualifications

* Minimum 3 years of experience in sales or marketing support, ideally in an international context.
* Bachelor’s degree (Bac +2 or Bac +3).
* Administrative expertise: efficient management of files, correspondence, meeting schedules and accurate records.
* Technical tools: proficiency in Microsoft Office and CRM; experience with social media management and content creation platforms.
* Project coordination: capability to handle multiple projects simultaneously while meeting deadlines and quality standards.
* Communication: strong written and verbal skills in English and the local language.
* Marketing and content creation experience; knowledge of basic HR processes.

Recruitment and Integration Process

The selection process consists of three video interviews: with Talent Acquisition, with your future manager, and with the HR Director, to discuss values and cultural fit.

Onboarding is a customized internal program, covering meetings across departments, technical discovery, and training tailored to your needs and functions over approximately two weeks.
