Atelier Biagetti is looking for a Studio Coordinator to join its Milan-based studio. We are seeking a highly organized, proactive and flexible person to coordinate the studio’s daily activities and support the smooth development of its projects. This is a cross-functional role at the center of the studio, connecting the management team, creative direction, project leaders, suppliers, artisans, consultants and external partners. The Studio Coordinator will help ensure that priorities, responsibilities, timelines, information and deliverables are clearly communicated, monitored and aligned. The ideal candidate has strong coordination and organizational skills, is comfortable managing multiple projects and stakeholders simultaneously, and can move confidently between project coordination, studio operations and administrative follow-up. Main responsibilities Coordinate the studio’s daily activities, priorities, calendars and operational requirements. Act as a central point of contact between management, creative direction, project leaders, and external collaborators. Monitor project timelines, deadlines, responsibilities, approvals and deliverables, ensuring that all parties remain aligned. Organize internal and external meetings, prepare agendas, take notes and follow up on agreed actions. Coordinate communication and information flows among suppliers, artisans, consultants, logistics partners, clients and other stakeholders. Collect and organize project updates, identifying pending decisions, delays, critical issues and next steps. Support the preparation and updating of project plans, timelines, recap documents, presentations and final reports. Coordinate quotes, orders, confirmations, invoices, production updates and shipping documentation with the relevant internal and external contacts. Follow up with suppliers and production partners to monitor progress, deadlines, quality requirements and deliveries. Coordinate shipments, logistics, couriers and related operational activities. Assist with the organization of installations, events, fairs, photoshoots, presentations and special projects. Support the management team and creative direction with scheduling, travel arrangements and day-to-day organizational needs. Help define and improve internal workflows, approval processes, filing systems and communication procedures. Ensure that digital and physical project archives are complete, structured and regularly updated. Oversee general office and studio organization, including supplies, maintenance, services and operational needs. Support the administrative and operational management of the studio when required. Requirements Previous experience in studio coordination, project coordination, operations, office management or a similar cross-functional role. Excellent organizational, planning and coordination skills. Strong ability to manage multiple priorities, deadlines and stakeholders in a dynamic creative environment. Ability to follow projects closely, anticipate needs and ensure that agreed actions are completed. Proactive, practical and solution-oriented approach. Strong attention to detail and accuracy in managing information and documentation. Excellent written and verbal communication skills. Ability to communicate effectively with suppliers, consultants, clients, partners and different internal teams. Good knowledge of Excel or Google Sheets, shared drives, email, calendars and digital collaboration tools. Fluency in Italian and English, both written and spoken. Ability to work independently while maintaining constant alignment with the wider team. Reliability and discretion when handling confidential information. Flexibility and willingness to support the studio during installations, events and periods of increased activity. An interest in design, art, fashion, interiors or the creative industries is considered a plus. About the role The Studio Coordinator will play a key role in connecting the different areas of Atelier Biagetti and ensuring that the studio’s activities and projects progress in a structured, timely and coordinated way. The position requires someone who can maintain an overview of multiple activities while also following up on details, deadlines and individual tasks. The Studio Coordinator will help keep communication flowing between all parties and ensure that projects move efficiently from planning to delivery. This role is ideal for someone who is hands-on and proactive, with a natural ability to coordinate information and processes within a fast-moving creative studio.
