Join to apply for the Executive Assistant to Sales Director role at Chaberton Professionals

Chaberton Professionals, a division of Chaberton Partners dedicated to the Search and Selection of Middle and Top Management profiles, is looking for an Executive Assistant to the Sales Director .

Activities

Provide high-level administrative and office support to the Sales Director, including – but not limited to – preparation of documentation for meetings, management of communications, accurate maintenance of document signatures and filing systems, ensuring professionalism and strict confidentiality;

Coordinate complex scheduling and agenda management, as well as preparation of materials and presentations through digital tools, ensuring a smooth flow of information to the Sales Director;

Act as a key point of coordination between the Sales Director, internal teams and external stakeholders (clients, suppliers, partners);

When required, welcome the Sales Director's guests and support the Facility Manager in managing the reception area;

Support, if necessary, the administrative management of the company car fleet;

Organize and manage specific events, including planning of activities, travel logistics, accommodations, transportation and overall organization;

Manage professional scheduling for the Sales Director using various tools, including meetings, client/supplier/visitor coordination and related company logistics;

Organize team communications and support the planning of internal and off-site events;

If assigned, manage the company car fleet, including vehicle allocation;

Monitor leasing and rental contracts, liaise with suppliers and control related costs;

Prepare reports, analyses and structured documents, with a strong focus on Excel-based data management and reporting.

Education and Qualifications Requirements

Minimum 7 years of proven experience as Executive Assistant / Assistant to the Sales Director or Commercial Director, preferably within structured or multinational organizations;

At least 10 years of overall experience in administrative or executive assistant roles reporting directly to senior or top management;

Experience in fast-paced, complex and dynamic environments;

Excellent knowledge of Excel (advanced level required), including data management, reporting, formulas and analysis; strong proficiency tsaya in PowerPoint;

Proficiency with office productivity tools and strong aptitude for learning new software and systems;

Fluent English (written and spoken); additional languages are a plus;

Excellent written and verbal communication skills;

Strong time‐management and organizational skills, with the ability to manage multiple priorities simultaneously;

High level of discretion, confidentiality, proactivity and problem‐solving mindset.

Location: Rho (MI) – own car required

Smart working: Two days of remote work per week, to be scheduled in coordination with the Sales Director's agenda, in consideration of the role's operational needs.
