About this role : The Administrative Assistant role is a support position to the Operational Group. The position requires a highly organized, analytical-minded, and meticulous individual with a strong work ethic.
Essential Functions :
* Build and maintain documentation of back-office processes
* Coordinate business process outsourcing (BPO) tasks
* Support the accounting department as needed (issuing NOC, NOR, etc.)
* Greet and welcome visitors, ensuring a positive and professional first impression
* Maintain the reception area, keeping it clean, organized, and stocked
* Sort and distribute incoming mail and packages; coordinate outgoing mail and courier services
* Manage conference room bookings, assist in meetings setup, and track office supplies and inventory
* Coordinate with building management for facility issues
* Assist with administrative tasks such as filing, data entry, and scanning
* Maintain confidentiality of all company and client information
* Assist in operational reporting
* Manage local office equipment leases
* Perform other clerical and administrative duties as needed
Qualifications :
* Associate's Degree preferred
* Basic knowledge of Microsoft Office, Outlook, and Teams
* Basic math skills for calculating premiums and commissions
* Solid understanding of insurance terminology preferred
* Ability to follow policies and procedures
* Accurate and timely completion of tasks
* Quick learner, self-motivated, and proactive
* Attention to detail
* Ability to work independently for extended periods
* Excellent written and verbal communication skills
* Ability to handle multiple tasks and prioritize effectively
* Willingness to learn new software
* Punctuality and regular attendance
Expected hours of work :
* Monday through Friday
* 8:00 am - 5:00 pm with some flexibility
